Terms and Conditions for the host department
Below you will find the terms the host department (or similar) commit to when requesting a reservation for a visiting guest.
- The host department is responsible for their guest as well as act as a guarantor.
- The host department verifies that the applicant is an international guest researcher according to our guidelines.Researchers eligible for housing
- When we have reserved a room or apartment for your guest researcher we will send you a confirmation of the booking. Please read it carefully to make sure the details are correct.
- If the accommodation needs to be cancelled, this has to be done before the contract start date to avoid financial obligation. Once the contract is active, there is a two full calendar months' notice period. To cancel the contract, please send an e-mail to: luacc [at] service [dot] lu [dot] se
- The guest cannot move in before 12:00 (noon) on the start date of the contract. If the 1st of a month occurs on a Saturday, Sunday or on a public holiday, keys can be picked up earliest on the next workday. Upon request the contact person from the host department can collect the keys on behalf of the guest and hand them over to the guest. The keys can however not be collected before the start date of the contract.

- The tenant is responsible for general upkeep during the tenancy and is expected to leave the room/apartment in good condition.
- Keys should be returned to LU Accommodation no later than 12:00 (noon) on the last day of the contract. Keys should be returned in the key chute at Instrumentmakaregränden 6, near our reception. The key chute is marked "LU Accommodation". If keys are not returned, the guest or the host department will be charged the cost for a lock change.
If the host department/ home university wish to support the guest researcher financially with the rental payments, this is best done by a grant to the researcher in question so that they can pay online through their housing account.
If this is not an alternative we can offer to internally/externally invoice the department instead of sending the invoices directly to the guest researcher. If you wish to be invoiced you can choose to either:
- Pay the entirety of the guest researchers stay directly (maximum 1 year).
- Pay three months at a time for the stay.
- When a guest researcher pays themselves, the rent is paid monthly, as is normal practice in Sweden.
