Terms of reservation
Booking
Individual Bookings (up to 5 rooms)
Please ensure you fill out the booking request form and provide all the requested information correctly. We may not proceed with your booking if the information is missing or incorrect. Once our team receives the request form filled out correctly, we proceed with the booking if there is availability and you will receive a confirmation letter. If we do not have availability, you will receive a reply accordingly.
Please note that once you fill out the booking request form and receive the confirmation letter, you are liable for the payment of the booking.
Group Bookings (6 or more rooms)
Please ensure you fill out the group booking request form and provide all the requested information correctly. We may not proceed with your booking if the information is missing or incorrect. Once our team receives the request form, we will check the availability and send you the group booking confirmation letter. For the group bookings, the rooming list should be provided no later than 14 days before the check-in of the guests. You can find the template of the rooming list here: xxxx. All amendments, cancellations and other communication should be coordinated by the contact person. The guests cannot book, amend, or cancel their reservation by contacting the University Guest House directly. If we do not have availability, you will receive reply accordingly.
Please note that once you fill out the booking request form and receive the confirmation letter, you are liable for the payment of the booking.
Payment
The guests pay at our reception during their stay, and we only accept VISA and Mastercard. If you need the receipt for the reimbursement, you can always send us an email after the checkout.
Please note that we cannot charge for the stay in advance before the guest's check in and outside the reception visiting hours.
We can also send internal invoices to the department at Lund University; however, we need the cost center and reference person's full name to be able to invoice.
We can issue external invoices (to the customer or institution) only within EU. Please note that for the external invoices there is an extra administrative fee (SEK 325 + 25% VAT). You need to contact us and provide necessary information before the check-in to pay via external invoice.
The University Guest House does not charge the guests a deposit at the check-in. However:
- Any damage to the room or common areas during the stay will be charged separately to the guest or the host department.
- Any extensive cleaning of the room or common areas during the stay or after the checkout of the guest will be charged to the guest or the host department.
Cancellation
Individual bookings (up to 5 rooms)
The individual reservations of up to 5 rooms can be amended or cancelled 7 days before the start date of the booking. In case of late cancellation or no show the guest/department will be charged according to the cancellation policy.
Group Bookings (6 or more rooms)
The group bookings/reservations for 6 or more rooms can be amended or cancelled up to 30 days before the start date of the booking. In case of late cancellation or no-show the contact person/department will be charged according to cancellation policy.
